In response to customer requests, Ready Room storyboards have been updated to include workflow support and other fun features. 

Here's how the new workflow works:

  • A user chooses storyboards from among Ready Room's 200+ built-in templates, or creates placeholder storyboards from their own template, just like before - but these storyboards now sit in the Pending column, which indicates that they haven't been started yet.
  • A user assigns storyboards to one primary and one or more secondary collaborators for each stage in the workflow and then promotes (via drag & drop) the storyboard to the In Process column.
  • The Owner(s) pick up the storyboard, drafts and refines it, and when done promotes it to the GXP Review column.
  • A GXP Reviewer reviews the storyboard for content and promotes it to the Document Review column.
  • A Document Reviewer reviews any attached documents for grammer, formatting, and completeness and then promotes the storyboard to the Leadership Review column.
  • A Leadership Reviewer approves the storyboard and promotes it to the Ready column.
  • The Interviewee uses Ready Rooms flashcard functionality to practice (possibly with the help of an assigned coach) answering questions using the storyboard.

Previously, we had been creating and applying labels to indicate workflow status, but the new visual interface makes it much easier to move storybards through the workflow and visualize the current status. If your team doesn't need a workflow step, you can skip it.  (As a future enhancement, the workflow will be customizable so you can remove the columns.) The ability to assign one primary and multiple secondary resources at each stage of the workflow is also a huge improvement, as it's now much clearer who is responsible for different aspects of the storyboard - creation vs. review vs. speaking to the storyboards in interviews.

The new interface looks very much like the request management interface, including counters at the top of each column, separate boards for "mine" and deleted storyboards, and enhanced filtering.  If change is hard for you, no worries - you can access the old table view easily and continue to work with storyboards in it. 

Another small but key change governs how storyboards are turned into inspection requests.  Now, the text of the storyboard is also copied into the Formal Response field of the request, so users have the option of using it in their response to an inspector. If an inspector asks a question with a complex answer that the team spent weeks compiling, now that answer can be turned into a response to the inspector with the click of a button.  If the storyboard has more detail than the inspector needs, the text can be edited or erased.  In addition the primary interviewee is set as the fulfiller of the request. As before, any documents uploaded to the storyboard are transferred over to the request.
